From recommendation to checked delivery
In-house SEO and agency handover: make responsibility usable
Plan SEO decisions, delivery and checks. Prepare a responsibility map and acceptance package before changing teams.
An SEO handover is complete when the receiving team can explain priorities, perform the agreed work and check changes. Reports are only one input. Whether you are bringing work in-house, changing advisers or sharing delivery, agree a transition plan that fits the people and capacity you actually have.
Map decisions before assigning tasks
List the recurring decisions: which pages matter, what content can claim, which technical change is approved and what counts as a useful outcome. Assign one accountable business role to each decision. The person writing a recommendation may differ from the person allowed to accept its commercial or technical consequences.
Create a responsibility table with columns for proposer, approver, implementer and verifier. Add the expected response time and a backup contact. Use roles your organisation can staff rather than filling a chart with imaginary specialists. If development capacity is unavailable, acknowledge the dependency before promising a programme of template improvements.
Turn the backlog into an acceptance register
For each priority, record the affected pages or templates, the evidence, the proposed action and the reason for its order. Distinguish observed defects from hypotheses that need testing. Add dependencies, the person doing the work and an observable completion check. A task labelled improve SEO is too vague to transfer reliably.
Agree what the receiving team is accepting. An editorial brief might require an approved factual source and a reviewed customer question. A redirect task needs an agreed source and destination plus a response check. Keep implementation acceptance separate from later traffic or enquiry trends, which can be influenced by demand, competition and other changes.
Keep ownership and access understandable
Prepare an inventory of the business-owned accounts, website resources and reporting sources used in delivery. Record the business owner, purpose, responsible contact and known access dependency. Reference credentials through the organisation's approved process; do not place passwords, verification codes or private customer records in a handover document.
Give reviewers only the access needed for their agreed role, with the business retaining accountable ownership. A discovery review does not imply authority to publish, purchase services or change account settings. Note any provider subscriptions and export limits separately. The receiving team should know what will remain available after the external engagement ends.
Practise one cycle before signing off
Let the receiving team work through a representative brief, decision, implementation and check. The outgoing adviser can explain missing context while the process remains reversible. Record questions that required help, revise instructions and identify remaining specialist dependencies. Meeting attendance alone does not prove readiness.
Finish with a dated note covering accepted work, unresolved issues, the next review and exception contacts. Agree which routines continue and which external tasks end. A follow-up review can assess the arrangement without implying unlimited support. The aim is informed ownership, not guaranteed ranking growth.
A handover checklist
- Decision owners and practical delivery capacity are named.
- Each priority includes evidence and a completion check.
- Business account ownership and dependencies are documented safely.
- The receiving team has rehearsed one representative work cycle.
- Outstanding issues and follow-up responsibilities are accepted.
Hypothetical example: a small manufacturer moves content updates to its marketing coordinator while its developer retains template changes. The pilot handover is one product-family page. The coordinator obtains technical approval for the product claims, publishes the agreed text and records the checks. Unresolved schema work stays assigned to the developer instead of disappearing between teams.

A few good questions
Clarity before you commit.
Need an answer specific to your business? Tell us what you are working on.
Ask GavekDoes bringing SEO in-house mean ending every external relationship?
No. Keep specialist review where it helps, but state which decisions and delivery tasks remain internal. A hybrid arrangement can be defined without duplicating responsibility.
Is this a staffing or recruitment service?
This guide describes advisory, training and handover planning. It does not promise recruitment, a supplied onsite team or automatic access to your systems.
What should remain open after the handover?
List unresolved issues with an owner, dependency and next review date. Acceptance of the handover should not silently mark unfinished tasks as complete.
