# Evaluate SEO software by evidence, ownership and total cost

A software comparison is useful when it tests a real workflow. Feature counts and promotional savings are weak purchasing criteria unless the data coverage, operational responsibility and cost of leaving the platform are understood.

## Write a small acceptance brief

Select representative URLs, a market, language and one business task. Define what a correct result looks like before seeing the vendor demo. For a crawl, include known redirect, canonical and rendering examples. For AI visibility, specify the question set, repetition, cited URL capture and data export. Keep observation quality separate from whether the platform can publish changes.

## Calculate the complete operating cost

Compare the subscription tier, project limits, crawl allowance, seats, AI credits, external data, onboarding, review time and implementation support. A combined platform may reduce overlap but create a new dependency. Test whether you can export usable historical observations and change records. Record cancellation terms from current vendor documents instead of republishing an ageing price table.

## Assign responsibility before granting access

Clarify which accounts the vendor connects, what permissions it receives, how approvals work and who restores an unwanted change. Trial a narrow scope and inspect the public result. A vendor-defined authority score may be useful for consistent internal comparison but should not be treated as a search engine’s own rating or a guaranteed predictor of AI citations.

## Illustrative scenario

A team compares two tools using twelve known URLs. One finds more warnings but cannot export the affected element or previous value. The other supports a slower but auditable workflow. The purchase note records that trade-off and actual review effort instead of declaring a universal winner.

## Acceptance checklist

- A representative workflow was tested

- Costs include review, access and exit requirements

- Vendor scores are labelled and approval rights are understood

## Use this in a Gavek engagement

Discuss the relevant task and agree the inputs, implementation responsibilities and review criteria before work starts. The guide describes an approach; scope and price depend on the actual project.
