# Knowledge hub governance: choose, maintain and retire useful answers

A glossary or knowledge centre becomes useful when readers can move from a confusing term to a practical decision. Plan ownership and maintenance before publishing hundreds of definitions that nobody is responsible for keeping accurate.

## Choose entries from customer tasks

Collect terms from enquiries, sales conversations, support requests and relevant search observations. For every candidate, identify the misunderstanding it resolves and the next decision it supports. A definition that merely restates the term may belong inside an existing guide. Reserve a separate URL for an explanation with a distinct purpose, examples and a useful continuation. Page quantity is not a substitute for a usable information structure.

## Separate definitions, guides and commercial pages

Give a short definition a clear scope. A procedural guide explains how to perform a task; a service page explains an actual offer. Link these formats where a reader genuinely needs the next step. Avoid reproducing the same paragraphs across all three. Assign one preferred owner page for each main question, and record synonyms as ways to find that answer rather than as reasons to create competing pages.

## Give every entry an accountable lifecycle

Store its owner, factual sources, related services and review trigger. Trigger a review when a product changes, evidence is withdrawn, a process is replaced or support teams report confusion. A calendar can prompt attention, but changing a date alone is not a content update. Record what was checked and what actually changed. If a topic becomes obsolete, explain the replacement, consolidate useful material or retire the page deliberately.

## Review whether the hub helps readers progress

Use observed navigation paths, support feedback and relevant enquiries to evaluate usefulness. A short visit may mean the reader found a quick answer; a long visit may mean confusion. Inspect the page and surrounding journey before interpreting behaviour. Keep the hub browsable by ordinary users, with descriptive links and a meaningful hierarchy. Do not add repetitive definitions merely because a competitor has an entry for every keyword variation.

## Knowledge-entry register

| Field | Editorial decision |

| Question owner | The preferred URL answering the main question |

| Reader task | The misunderstanding or decision this entry supports |

| Evidence owner | Who can confirm facts and supply updates |

| Review trigger | A product, evidence or process change |

| Retirement route | Keep, revise, consolidate or retire with a reason |

## Illustrative scenario

Illustrative scenario: a specialist supplier has separate pages for three spellings of the same technical term. The editor creates one useful explanation, adds the alternatives within it and links to a detailed selection guide. The record preserves the old destinations and a reviewed consolidation plan. This is a governance example, not a claim about a real customer’s rankings.

## Acceptance checklist

- Each entry has a distinct reader task.

- Definitions and sales descriptions serve different purposes.

- Synonyms lead to an owner answer rather than duplicate articles.

- Review triggers and responsible people are recorded.

- Retired material has a documented destination or removal decision.

### Does a glossary establish topical authority by itself?

A glossary can help explain a subject, but completeness, accuracy and relevance matter more than accumulating definitions. No authority score or ranking result is guaranteed.

### How often should every entry be rewritten?

Use the risk and rate of change of the subject. Some facts require prompt review; stable explanations may only need checking when their sources or related offers change.
