# Plan recurring SEO content around capacity and acceptance

A monthly content programme needs more than a publishing target. Define which work can be accepted, who supplies evidence, and how revisions and implementation fit the team’s actual capacity before agreeing a recurring scope.

## Define the unit of work before discussing volume

Distinguish a new article, a category-page update, a technical brief and a translation. They require different evidence and reviewers. For each item, state whether research, subject interviews, editing, visual assets, CMS entry and post-publication checks are included. Counting every item as one page hides these differences. Agree a useful deliverable and a completion condition instead of encouraging long text or extra URLs to satisfy an arbitrary output target.

## Find the bottleneck in the review chain

Map the sequence from brief to approved facts, draft, specialist review, revision and release. The limiting resource may be a customer’s product expert rather than a writer. Record availability and a realistic response expectation for each reviewer. Keep a visible queue of blocked items with the missing input and owner. If evidence is not available, replace the item with a ready task instead of allowing uncertain claims into production.

## Make acceptance and revision rules explicit

A finished draft should meet its brief, support factual claims, serve a distinct reader task and have a clear intended destination. Agree who decides whether it passes and which changes belong to the original scope. New product facts or a different audience may require a revised brief rather than another polishing round. Preserve the original version and approval notes so an implementer can identify the authorised text and its remaining limitations.

## Review the backlog using evidence from published work

Separate accepted drafts from implemented pages and verified publications. Track what is blocked, what has shipped and what needs maintenance. Evaluate discovery, relevant page journeys and qualified enquiries where measurement allows; do not treat the number of words as evidence of results. At the next planning meeting, decide which items to update, continue or stop. A recurring programme should accommodate changing priorities without promising a fixed business outcome.

## Monthly content acceptance board

| State | Required record |

| Ready | Approved brief, source material and available reviewer |

| In production | Owner, intended URL and scope |

| Awaiting review | Specific question and accountable approver |

| Accepted | Approved version and unresolved limitations |

| Published | Live URL, publication check and follow-up owner |

## Illustrative scenario

Illustrative scenario: a team planned several new articles, but its specialist can review only a limited amount of new product material. It moves an evidence-ready category update forward and delays the article that needs an interview. The purpose is to improve delivery reliability; the example does not state a Gavek package, production quota or achieved customer result.

## Acceptance checklist

- Work types and included tasks are defined.

- Expert-review capacity is part of the plan.

- Acceptance criteria and revision boundaries are documented.

- Accepted, implemented and verified are different states.

- Maintenance work has a place in the recurring backlog.

[Ask Gavek](https://gavek.dk/contact/)

### Should a retainer guarantee a fixed number of articles?

A clear agreed scope can include quantities, but the work types, inputs and review responsibilities must also be explicit. Gavek scope and pricing are agreed for the actual project.

### Can AI remove the need for expert review?

Draft assistance does not establish whether a product claim is correct or approved. The responsible reviewer still needs evidence and authority to accept it.
