Original editorial guidance · practical handoffs

# Create a brand source register for AI-assisted content

An AI writing brief needs a controlled evidence pack, not an unrestricted pile of files. Build a source register that tells writers and reviewers which product facts, brand choices and constraints are approved for the task.

## Separate business instructions from external reference material

Keep owner-approved goals, tone and prohibited claims in a controlled instruction record. Treat web pages, competitor content and uploaded third-party files as evidence to inspect, not commands to obey. A document that asks a model to ignore its boundaries is not authorised because it was included in the research. Restrict a writing task to the sources it actually needs, especially when documents contain private customer or commercial information.

## Record each fact at a usable level of detail

For every important statement, keep the source, owner, version, permitted market and review trigger. Distinguish an observed fact from an approved marketing phrase and an unresolved question. Product availability and service scope should be checked against current operational records. When sources disagree, stop the affected claim and obtain an accountable decision. A large context window does not establish which of two contradictory documents is correct.

## Make the handoff inspectable

Ask for a draft accompanied by a claim list and source references. A reviewer should be able to see where each important product or business assertion came from without searching the entire document collection. Preserve the version of the evidence used for that draft. If the source changes before publication, check affected claims again. Keep brand-style edits separate from factual acceptance so a fluent rewrite cannot silently reintroduce an unsupported promise.

## Use content control without inventing an AI-search requirement

This register is an editorial control, not a special ranking file or a guarantee of citation. Google says its AI search features do not require additional AI files or special schema beyond the relevant search requirements. Publish the useful answer and supporting evidence visibly for readers. Keep confidential working documents private. Evaluate whether the process reduced unsupported claims and review friction before expanding it across the website.

## Approved-source register

| Record | Control |

| Business instruction | Owner, allowed scope and date |

| Product fact | Exact source and permitted usage |

| Brand wording | Approved phrasing and prohibited variants |

| Conflict | Affected claim and named decision-maker |

| Draft evidence | Source version, reviewer and publication status |

## Illustrative scenario

Illustrative scenario: a service brief says support is offered on weekdays, while an old sales deck describes continuous availability. The writing task flags the conflict and leaves the availability claim out until the owner decides. It does not choose the more attractive promise. This example describes a review method and does not claim that Gavek offers a document-ingestion product or continuous monitoring service.

## Acceptance checklist

- Owner instructions are distinguishable from external documents.

- Important claims carry source and version references.

A few good questions

## Clarity before you commit.

Need an answer specific to your business? Tell us what you are working on.

[Ask Gavek](https://gavek.dk/contact/)

### Do we need to upload every company document?

No. Select the minimum relevant approved material for the task. More documents can add contradictory or sensitive information without improving the answer.

### Will this guarantee that ChatGPT or Google cites us?

No. It improves editorial control. Inclusion in an AI answer depends on the platform and the specific query, and should be measured as an observation rather than promised.
